How Votar supported a State Government client Strengthen Information Management

The Challenge
The organisation had committed to upgrading critical information management systems yet faced significant challenges. Information Management practices were inconsistent across the organisation, with confusion about what to save, where to save it, and staff adopting their own workarounds. 

Our Solution
Votar conducted an ‘Information Management Maturity Assessment’ to map current practices and uncover gaps. This process included workshops, compliance assessments, and an organisation-wide staff survey. By engaging broadly, we ensured all business units could provide feedback and highlighted areas where cultural and compliance improvements were needed. 

The Outcomes
The assessment revealed critical issues: 

  • Compliance gaps and privacy risks 
  • Data siloes across business units 
  • Inconsistent culture of recordkeeping 

Based on these insights, Votar developed a new Information Management Strategy that: 

  • Set a clear direction for Information Management uplift 
  • Linked records management to data, IT security, and privacy 
  • Demonstrated the business value of effective information management and linking back to delivery of core services 
  • Embedded corporate values into the Information Management framework 

The Results
The executive team welcomed the findings and acknowledged the need for Information Governance foundations to be strengthened. A governance program was established and fully adopted by the Executive team and delivery team. With stronger structures in place, the organisation can now confidently pursue future projects, including the responsible use of AI, built on solid information management. 

Conclusion
This case study demonstrates the importance of assessing and strengthening information management before investing in new systems. By taking the time to build strong governance, this organisation avoided costly missteps and positioned themselves for sustainable digital growth.
